Employment Policy

At CodesenSys, we offer flexible work arrangements that balance business needs with employee well-being. The following Employment Policy defines the terms and expectations for full-time, part-time, remote, hybrid, and onsite roles.

CodesenSys Employment Policy — Key Points

1 Employment Categories

  • Full-Time : 40 hours/week (Pakistan: Mon–Fri, 9 am–6 pm PKT; U.S. teams align with local time zones).
  • Part-Time : ≤ 30 hours/week; schedules set in advance with the team lead.
  • Intern / Trainee : Fixed-term programs (3–6 months) with defined learning objectives.

2 Work Location Models

  • Onsite : Primary work at an approved CodesenSys office or client facility.
  • Remote : 100 % off-site; core-hours overlap of at least 4 hours with the team’s base time zone.
  • Hybrid : Minimum two onsite days per week (or per sprint) agreed with the manager; remaining days remote.
  • Employees may request a change in location model once per calendar year, subject to project needs.

3 Hours & Availability

  • Core Collaboration Window : 10 am–4 pm local office time for all models.
  • Overtime : Must be pre-approved; compensated as time-off in-lieu or per contract terms.
  • Time Tracking : Accurate time tracking in the approved system (e.g., JIRA, Harvest) is mandatory.

4 Equipment & Expenses

  • Company-Issued Equipment : Laptop, VPN, and security tokens provided to all full-time staff; part-time/contractors as required.
  • Remote Employees : Receive a one-time home-office stipend (ergonomic chair/desk, external monitor).
  • Internet Reimbursement : Monthly internet reimbursement capped at locally published rates; expense claims submitted by the 5th each month.

5 Communication & Collaboration

  • Primary Channels : Slack, MS Teams, and GitHub; video on by default for all client or team meetings unless bandwidth prohibits.
  • Stand-Ups : Daily for Agile squads; weekly syncs for functional teams.
  • Response SLAs : Internal messages ≤ 2 business hours; client messages ≤ 4 business hours.

6 Performance & Development

  • Probation & Reviews : 90-day probation for new hires; formal review at day 30 and day 90.
  • Bi-Annual Appraisals : Tied to OKRs, client feedback, and skills progression.
  • Learning & Development : Access to paid certifications, Udemy Business, and conference budgets based on tenure and role.

7 Leave & Holidays

  • Full-Time : 18 paid vacation days + national public holidays (country-specific).
  • Part-Time : Prorated leave based on average weekly hours.
  • Sick Leave : Up to 10 days per year; medical certificate required for absences > 3 consecutive days.

8 Health, Safety & Security

  • Onsite Offices : Follow local occupational-safety regulations; remote workers must maintain an ergonomically safe workspace.
  • Security Compliance : All staff adhere to CodesenSys Security & Compliance policies (MFA, encrypted disks, no public Wi-Fi without VPN).

9 Conduct & Confidentiality

  • Employees must follow the CodesenSys Code of Conduct and client-specific NDAs at all times.
  • Conflicts of interest must be disclosed to HR immediately.

10 Termination & Notice

  • Voluntary Resignation : Two weeks’ written notice (onsite/hybrid) or four weeks for key technical leads.
  • Termination for Cause : May be immediate; severance follows local labor law.
  • Company Property : Company property and access credentials must be returned/revoked on the last working day.

11 Policy Changes

  • HR reviews this policy annually; updates communicated via email and posted on the HR portal.
  • Continued employment after an update signifies acceptance of the revised terms.
